Referrer Setup

To setup a referrer open the Pronto desktop from the Admin tab down the left side of TM2.  The setting we are interested in is labelled as Referrers and is shown below;

Clicking on this area button will access the settings shown below;

All of the providers you are currently enabled for will appear here, if you think there are some missing then contact the Pronto Helpdesk for assistance.  

You would match the Pronto record for BUPA to your local BUPA group.  The example above shows "Bupa" from Pronto (on the left) being linked to "BUPA International" on the right.

From this screen you can control the access to your availability as a whole, by Location and by Practitioner.  If you were to move the green slider above Clinic Enabled shown above this would prevent this referrer from have any access to your diary slots.

To limit the Locations this referrer has access to select the Edit option just to the right of Locations.  You should only select Locations that the referrer is aware you treat at / are registered at.  Remember to press theSave button which could be quite far down the page depending on the number of Locations you have.

The same would apply to the Practitioners with the same attention needing to be paid to the Save button.

The dropdown Create bookings under this TM2 Group is to link the "pronto referrer" with your local Group record.  This means the patient will be correctly linked to that group and you will have accurate appointment statistics.

The create patients as provisional is to allow you to have the ability to manually make patients referred via Pronto real.  As well as providing you with more control over bookings it also allows you to merge client records to ensure duplicates are not created.  You can find out more about Provisional Patients below;

You can adjust some additional options from the Settings tab.

Business Name - Self explanatory, this would be the name of your business.


I want to allow web bookings from N days from today - This is the minimum time you want to accept bookings from.  0 would mean that an appointment could be booked in 10 minutes before the appointment slot beings, for example, a booking comes in at 9.50 for an appointment at 10.  Setting this to 1 (one) would mean they could only book appointments into slots 24 hours ahead of the current time.  2 would mean 48 hours etc.


I don't want to allow web bookings after N days from today - This sets the maximum days in the future the referrer can book.  The default setting of 21 days means they (the referrer) could not book an appointment on a date that is greater than 3 weeks from the current date.

All of the options below can be adjusted on a per location basis, simply select the "Use different .... per location" radio button and the fields will change.


Appointment Search - Allows you to specify a custom message in the event that no appointments show as available.  This could be as simple as "Please call the clinic".  Not all referrers will be interested in this information and so some may choose not to have it appear on their own interfaces.  This means that while you provide it, the referrer may not see it.


General Information - This could be letting the client know of any confusing directions, "Clinic door on right of building..." etc.  Not all referrers will be interested in this information and so some may choose not to have it appear on their own interfaces.  This means that while you provide it, the referrer may not see it.


Cancellation Policy - This would outline your policy for patients who cancel the appointment,  for example, "24 Hours notice required".  Not all referrers will be interested in this information and so some may choose not to have it appear on their own interfaces.  This means that while you provide it, the referrer may not see it.
