24/7 Reception Setting up Practitioner Sessions

You can specify the hours that the 3rd party booking provider can have access to.  While they cannot "see" the start and end times of each session they can see suggested slots within these hours.  For example, a referrer could not see you start at 9am and work until 12 noon but they could see you have an appointment available at 9am.

Sessions for Reception Company match TM3 Diary

This is the most straightforward setup as there is a very high chance you already have your practitioner sessions specified.  This article will not go into detail of the process so if you are new to TM3 please see the article on this by clicking here.

Access your Settings > Set Up > Practitioner. Double click on the practitioner you wish to set up working hours for, you should then be taken to their profile which will look something like the image below;

Once open, our first step is to ensure they are allowed for online bookings. Click on the green Edit button and ensure Online checkbox is checked. Then click Update.

When back on the practitioner record, click on the green Actions button and then select Edit Working Hours you should then be brought to a screen like below. When you click and drag the hours you wish to add you will be given the pop-up box like in the image below.

When you click on How Often? you will be given a drop down of;

  • None
  • Daily
  • Weekly
  • Fortnightly
  • Monthly
  • Custom

And then you can add in how many weeks you want the session to happen. If you have multiple locations you will need to repeat the steps above for each desired site.

The next step is the important one, to have these appointment times available for the reception company we must ensure the session is set to be available online. When you click on More Options you will then be provided with a few more options like shown in the image below. 

Each of the sessions has an Available for Online bookings setting, it is this that governs if it is available for the reception company to see or now. This must be checked for the session to be available to be booked into. Ticking this will enable the session on ALL Tuesdays between 11:15 and 15:15.  Repeat the above for the other days/sessions pressing the Create/Update button as you go.

Set Particular Sessions a Reception Company can see.

If you only wish for the reception company to only see some of the appointments you have available, you are able to split up your working hours within TM3 so only the selected time period is shown to the reception company. If this is your case then please follow the below steps.

As in the above section, access your practitioner record > Actions > Edit Working Hours. If for example, we have a session set up from 10:00 - 14:00 on a Wednesday, but we only want a reception company to be able to book in from 12:00 - 14:00 then we need to split the 10:00 - 14:00 session up;

Our first step in splitting up the session is to click onto the working hours and then select Edit like shown in the image below;

You will now be given the option to edit your From and To time, change the from time to the new time you either want the reception company book/not book in until. In this example, we don't want the reception company to book during these hours so we need to ensure our Available for Online Bookings is turned off. Click onto More Options and ensure the checkbox for this is unticked - Please Note; as this is an example if you want the reception company to book during these times ensure the Available for Online Bookings is ticked. When complete select Apply to ALL subsequent working times - this will then change all of the practitioners working hours on a Wednesday.

Our next step is to create a new working time from 12:00 - 14:00 on a Wednesday afternoon that is available online. When you click and drag on the hours you wish to add you will be given the pop-up box like in the image below. This time you need to ensure Available for online bookings is ticked as this will now give the reception company appointments to book into. 

When you have set your correct times to allow online bookings your working hours should look something like the following in the image below - This will differ depending on the working hours you have set up.
